Microsoft started rolling out a new Microsoft Office a few years back which now means that we have three versions at hand. We have Microsoft office 2016, Office 365 and now the brand new Office 2019.

If you have been thinking of upgrading from Microsoft Office 2016 to 2019, there are a few things you should know. Most of the people have a hard time noticing any changes and even comparing the two versions.

In this article, I will take some time comparing the two versions to give you a clearer picture of the two.

Office 2016 is the killer version that most of the people went for some time back. It has all the features that people and businesses have been looking for. It was developed with the sole purpose of enhancing collaboration. However, one thing that you should know is that this feature is not fully baked. They are facing some challenges when collaborating with Google’s own productivity.

With Office 2016, all the applications can tell you and your users how to tackle a certain problem. The Office has the new feature ‘’Tell me’’ which assists people to do what they want to do. When Office 2016 and Office 365 were released, they both had some similarities in terms of features and functions.

However, with Office 2019, there are several key features that are missing. Some of these features can only be available via office 365 subscription.

If you want the best in terms of features and functions, you should go and download Office 2016 or Office 365. However, office 2019 has also come with some features that are specifically targeting specific applications.

With Microsoft word, some features are available, such as:

Learning Tools
Text to Speech Feature
Accessibility Improvement
Improved Inking

It is the same case with Ms Excel where some of the features such as Funnel charts, timelines and 2D maps were among the new features. Some other features include, ability to publish excel to PowerBI, powerQuery enhancements and PowerPivot enhancements.

Several other features exist with other applications such as Publisher and PowerPoint. However, most of the people are not even willing to upgrade. The main reason why most of the people and businesses are not turning to Office 2019 is because the prior Office versions including Office 2016 and Office 365 have more features and hence they are usually a better deal.

How Does Microsoft Office 2019 Compare to Office 2016?

Although we have talked about the other side of Microsoft Office 2019, there are some of the new features it has incorporated.

Some of them include:

Improved inking in all the apps
New chart types in Excel
Focused inbox in Outlook
Focus mode in Word
Better integration with the newer Ms servers and services

Most of the businesses that are willing to upgrade are those that are specifically using those services.

However, for small businesses or individuals, I have to say that there’s nothing appealing in that. What am trying to mean is that if you have already downloaded Office 2016 and its working well for you, there’s little reasons to upgrade.

Microsoft Office 2016 for Mac OneDrive Integration

Storing files in OneDrive saves space on the user’s local storage. Owners of a MacBook with limited storage will enjoy freeing up some local storage. This also makes it easy to share files between a Mac, a PC and mobile apps running on iOS or Android.

Microsoft took a unique step with their iPad version of the Office apps. They added integration with Dropbox. That’s not in the Office 2016 programs, but we do see where they might add it. Create a file and then choose Save As from the File menu. Click on Add a Service with the plus icon next to. This opens the box above. It only shows OneDrive, OneDrive for Business and SharePoint. Let’s hope they follow the iOS versions and put Dropbox there.

Adding a service like OneDrive means users don’t need to store all of their files on their limited flash storage drive, like the ones we find on the 128GB MacBooks or older 64GB drives. Plus, a subscription to Office 365 gives users unlimited file storage so long as the subscription stays current.

Work with files on the Mac using the On My Mac button in the file dialog box.

Users can still work with files stored locally. Click on the On My Mac button seen in the image above. This opens the traditional OS X file saving/opening dialog box.

Addition of OneNote into Suite

Mac users could download the free Mac version of Microsoft OneNote from the Mac App Store. Mac users get most of the features their Windows using friends enjoy. This makes OneNote a more compelling tool on the iPad, iPhone and Mac.

OneNote organizes itself into notebooks, with tabs in each notebook and pages on each tab. Think of each notebook in OneNote like a three-ring binder with those manilla separator sheets between each section. The manilla sheets correspond to the tabs in OneNote. Add pages on each tab like one would add them behind the manilla sheet in a physical notebook.

Users can insert text, images, PDF files, links, to-do lists, tables, charts and more. Draw or type on each page. Format them like you would with a Word document.

Microsoft Office 2016 for Mac now looks more like its Windows cousin. Everything looks better and fits into the Office way of doing things with modern icons.

In the new version all the Ribbons look different compared to the old Mac version. They all include the same features, but in different spots. That will take time for users to acclimate themselves to this arrangement, but Windows Office users will feel more at home.

The icons used to launch each program look like their Windows counterparts too.

Recent Documents

Like the Windows versions, Microsoft Office 2016 for Mac stores a list of recent documents in the open dialog box. Click on the Recent button and it lists them. This makes opening a recently edited document, spreadsheet or presentation fast.

New Themes, Styles and Templates

When a user opens Word, Excel or PowerPoint there’s a New dialog box that shows templates or themes.
